Enrollment system is the must have system in a school. When a student is enrolling for a specific course the school requires all the necessary information of the enrolees. In the enrollment system, the school can trace what are the standings of the students. The data of the student are inserted in the enrollment system it includes payment, subjects, number of units, section, subject rooms, etc. Lack of enrollment system in a school it can lead to chaos and troubles, the students will be confuse on what they should do and how they will do to be able to enrol. It is extremely useful in the school in the way of making the processes of enrolling much easy. In enrollment, Lobo International Institute Foundation Inc, a private institution on secondary school uses manual system of enrollment.

The proponents think that their current system for enrollment is quite time and effort consuming considering that they have 336 students at present. They are experiencing hard time in performing transactions involved in their enrollment like the assessment of the students, the payment for their tuition fees and other fees, registration and also in generating enrollment related reports. 1. 1 Statement of the Problem 1. 2. 1 General Problem How to design and implement a computerized enrollment system which will improve the current manual enrollment system of Lobo International Institute Foundation Inc? . 2. 2 Specific Problems How to create a module that will speed up the assessment process? The persons who will greatly benefit from the proposed system are the following: Owner and Principal

As owner and head of the school, they can easily monitor every transaction done in the school. Teachers and Staff They can easily retrieve all the information about their students and monitor their standings. Students The enrollment process of every student will required less time unlike with the manual system. Proponents As the programmers of the system, the proponents will be able to develop their knowledge and skills in doing a system as preparation for their future job. Future Researchers They can use this system as reference for their studies. 1. 4 Scope and Limitations

The proposed system will be able to do the following functions: Maintenance This module allows the authorized personnel to add/save, edit/update, delete, search and view the student information and other related records. It includes the following maintenance: Student Maintenance This module keeps all the information about the students. User Maintenance Users will be given user-id and password to maintain security against unauthorized use. School Fees Maintenance All the transactions regarding the payments of tuition fees and other fees can be done in this module.

Schedule Maintenance This module will check schedule conflicts of every student. Subject Maintenance In this module, teachers can access information about the subjects they will handle for a certain class. Section Maintenance This module will manage the distribution of student for their respective sections. Year Level Maintenance This module will update the year level of students for every school year. Transactions This module performs the assessment, registration, cashiering, recording the grades of students, checking the outstanding balance of tuition fees and other fees.

Reports This module will generate enrollment master list, schedule report, report card, form 137 and payment collection. About This module gives information about the system and developer. Utilities This module will provide back-up and restore. It will be used in backing files stored in the database and recover it if in case corruption of data has occurred. Help This module will guide the users on how to execute the system. This step involves breaking down the system in different pieces to analyze the situation, analyzing project goals, breaking own what needs to be created and attempting to engage users so that definite requirements can be defined. Requirement gathering is the most crucial aspect as many times communication gaps arise in this phase and this leads to validation errors and bugs in the software program. Design In systems design the design functions and operations are described in detail, including screen layouts, business rules, process diagrams and other documentation. The output of this stage will describe the new system as a collection of modules or subsystems.

The design stage takes as its initial input the requirements identified in the approved requirements document. For each requirement, a set of one or more design elements will be produced as a result of interviews, workshops, and/or prototype efforts. Design elements describe the desired software features in detail, and generally include functional hierarchy diagrams, screen layout diagrams, tables of business rules, business process diagrams, pseudocode, and a complete entity-relationship diagram with a full data dictionary.

These design elements are intended to describe the software in sufficient detail that skilled programmers may develop the software with minimal additional input design. Implementation Modular and subsystem programming code will be accomplished during this stage. Unit testing and module testing are done in this stage by the developers. Maricho Sjafruddin, OIC and Guidance Counselor, was made and the interview was done in their principal’s office. The following are the important points that the researchers gathered: 1. Lobo International Institute Foundation Inc for secondary school, which was founded in 2002 – 2003 was owned by Mrs. Elizabeth Z. Yoo M. D. and Rev. Paul K. Yoo. 2. At present, they are using manual system in enrollment. 3. They have 336 students at present and are distributed to 9 sections. The name of their sections for every year level came from the Bible. . They have 14 teachers and 7 staffs. 5. The tuition fee of the students is six thousand two hundred pesos (6,200. 00) and miscellaneous fee costs nine hundred pesos (900. 00). Review of Documents and Record The proponents reviewed and analyze the current documents and records available at Lobo International Institute Foundation Inc to understand how every transaction affect the current enrollment system.
